What it is, plainly

It's a dedicated PMS (Property Management System) that runs a property from the reservation, through check-in, housekeeping and settling the guest account, to staff scheduling and time tracking. It's for hotels, guesthouses and SPA properties that have outgrown spreadsheets and off-the-shelf systems and want a tool built around their process, not the other way round.

This isn't an off-the-shelf box you bend your property to fit and pay for per room. It's the other way around. We start from how your front desk and back office actually work and build the system around that. That's why it's modular: we start with one working module and add the rest in stages.

Who it's for

For small and mid-sized hospitality properties that run reservations in a spreadsheet and emails, or in an off-the-shelf system that can't keep up with how they actually work. The same foundation serves different property types, because the problem is the same everywhere: data drifts apart between the front desk, housekeeping, F&B and HR.

Honestly: today we have one working, production deployment, the time-tracking module (Auresta RCP) at a hotel with a SPA in south-eastern Poland. We finalise the full PMS platform (Auresta) module by module and don't pretend the whole thing already runs at many clients.

Custom or an off-the-shelf PMS

For a small or mid-sized property, a big off-the-shelf PMS is often overkill. You pay a per-room subscription for hundreds of features you'll never use, you still have to bend your process to how the system wants to work, and you hand your data to someone else's cloud. A dedicated, modular build flips that order.

A process shaped around you. We build the system around how your front desk, housekeeping and F&B actually work, not around a fixed template you have to fit.

One system instead of many. Front desk with check-in and check-out, housekeeping, POS with fiscalisation, SPA, inventory and time tracking in a single app, with no data re-entry between tools.

OTA channels and your own widget. Reservations from Booking.com and Airbnb land automatically through a channel manager (Channex, iCal), and a booking widget on your site reduces dependence on portal commissions.

Honest trade-offs. A dedicated build won't replace every feature of a mature box that's been developed for years on day one. We build modularly, so the full scope arrives in stages, not all at once. If you need a complete system right away, an off-the-shelf PMS will start faster. We give you a tool tailored to your property, whose data stays with you and whose code is yours.

Proof, honestly

We don't have dozens of hospitality deployments and we won't invent them. What we do have is our own platform built for this market and one module that already runs in production at a client.

Auresta is our own operational platform (PMS) for hotels and SPAs: front desk with check-in and check-out, housekeeping, POS with a Novitus fiscal printer, a SPA panel, inventory with recipes, a channel manager via Channex plus iCal import from Booking.com and Airbnb, and room IoT thermostats on top. It's a do-it-all system being finalised, so we don't pretend the whole platform already runs in production. We describe it as it is.

The first carved-out, working module is Auresta RCP, time tracking compliant with the Polish Labour Code and GDPR. It runs in production at a hotel property in south-eastern Poland, covers several dozen staff on shifts, calculates overtime and night hours automatically, and keeps HR data on the client's own server. That module is where we show the foundation is solid.

We don't promise percentages we don't have. Hard numbers we gather together with the property on site, instead of typing metrics pulled from thin air here.

How we work

  1. We start with an audit of your property. We look at how you run reservations, housekeeping, F&B and schedules, and where data drifts apart today.

  2. We pick the first module that delivers the fastest result, for example time tracking or the front desk with housekeeping, and that one goes live first.

  3. We deploy the module at your site, load the data you already have and train the team. No retyping everything from scratch.

  4. We connect the integrations your property needs: OTA channels (Channex, iCal Booking.com and Airbnb), fiscalisation, SMS and email, as we add further modules.

  5. We expand in stages. Further modules, POS, SPA, inventory or invoicing, get added once the previous one works and delivers a result.

A fixed price, set after the audit, from 18,000 PLN. The first module goes live in 4 weeks. The code is yours, in your repository, and the data stays on your server, with no per-room licensing and no lock-in to us.

Straight answers

Q.1How is this different from an off-the-shelf PMS?

An off-the-shelf PMS forces you to fit your property to its template and pay a per-room subscription, with your data in someone else's cloud. We build the system around your process, module by module, and the data and code stay with you. In return, the full scope arrives in stages rather than all at once.

Q.2Our reservations live in Excel and Booking.com. Can you connect that?

Yes. We load spreadsheet data during rollout, and reservations from Booking.com and Airbnb connect through a channel manager (Channex and iCal import), so they land in the system automatically, with no manual re-typing from portals.

Q.3How long does it take and what does it cost?

We bring the first module live from 4 weeks, and we set a fixed price after a short audit of your property, from 18,000 PLN. We bill for the agreed scope, with no invoices for things we never agreed on. Further modules are quoted separately as we reach them.

Q.4Is the time tracking compliant with the Labour Code and GDPR?

Yes. Auresta RCP calculates 50 and 100 percent overtime and night hours, handles absence types from the Polish Labour Code, and the whole thing is GDPR-compliant: retention, right to erasure, employee data export and a data processing agreement. The module runs on-premise, so HR data stays on your server.

Q.5Does guest and staff data stay with us?

Yes. We deploy the RCP module on-premise, on the property's own server, and the code belongs to you from day one. You don't get locked into our cloud or into per-room licensing.

Q.6I run a guesthouse, not a big hotel. Does it make sense?

Most often yes, if you've outgrown a spreadsheet and want a tool built around your process. We start with the one module that delivers the fastest result and only expand what you actually use. During the audit we check directly whether it pays off for you before we promise anything.
