An invoice looks different from every supplier, and an order arrives by email, PDF, or plain message text. We build a flow that reads it, pulls out what is needed, and routes it to the right person.
What automated document flow means
Automated document flow is automation that reads incoming letters, invoices and orders, pulls out the data that is needed, and routes them to the right person or system, instead of leaving it to someone who checks the inbox and the printer tray every day.
A fixed rule is not enough, because every supplier lays out an invoice differently and a customer writes an order in their own words. That is where a language model comes in: it reads the document the way a person would, and pulls out line items, amounts, dates or sender details regardless of how the page is laid out.
The flow does not stop at reading. The document moves on, to approval, to a specific system, or to a specific person, following rules we settle together with you. Anything the model is not confident about goes to a person rather than being guessed.

What this looks like in practice
Example (hypothetical)A fit-out contractor gets dozens of cost invoices a month from different building material suppliers, each laid out differently, some as PDFs, some as phone-camera scans. Today one person in the office opens each one, checks the line items, the amount and the due date, and types it into the accounting system by hand.
The flow reads each invoice regardless of layout, pulls out the line items, amount and due date, and enters them into the accounting system as a document ready for approval. Invoices with a suspiciously low read confidence, a poorly legible scan, for example, go to a separate queue for manual review instead of entering the system with an error.
How long an implementation takes

Shorter when documents come from a small number of regular sources with a similar layout. Longer when the layout varies a lot between suppliers and the model has to learn to spot exceptions from your examples before it can run on its own.
Questions about document flow
- What kinds of documents can be read this way?
- Most often cost invoices, customer orders and service requests, but the approach works for any repeating text document. On the first call we look at your examples and say plainly whether they are a fit before quoting anything.
- What if a document is illegible or incomplete?
- It goes to a separate queue for manual review instead of being entered with an error or skipped. We settle the confidence threshold below which a document goes to a person together with you at the start.
- Will this replace our whole accounting or office team?
- No. It takes away the retyping and searching, the part of the job that is most tiring and where mistakes are easiest. Decisions that need judgment, whether to pay an invoice right away or dispute it, stay with a person.
- How many documents a month makes this worth it?
- It depends on how much time it takes today, not the raw count. A few dozen complex invoices a month usually pays off, since each one costs a few minutes of manual work. We do the real arithmetic on the free call, on your numbers.
- Can a new document type be added later?
- Yes, and it is usually the cheapest way to expand the flow, since the setup and most of the rules already exist. We always start with one document type, confirm it runs reliably, and only then add the next.
