What connecting systems means

Connecting systems is automation where data moves by itself between two or more business systems instead of through a clipboard. An order in the sales system reaches the warehouse system, an invoice from the warehouse reaches accounting, stock levels flow back from the warehouse to the online store, all without a person clicking the same thing in two places.

The difference from automating a single process is that this covers the whole flow of data between systems, often in both directions at once. An order goes from one system to another, and its status travels back the same way, so both sides always see the same picture without a manual check.

We build this on n8n, which we install on your own server, and connect to your systems through their integration interfaces where they have one, or through export and import files where they do not. None of your programs need to change for this to work.

How an implementation works

We start by mapping what currently moves by hand between your systems, not by picking an integration tool.

  2. 2We decide which direction data flowsSometimes data should only go one way, orders from one system into another. Sometimes both ways, with status flowing back. That is a business decision, not a technical one, so we make it together with you.
  3. 3We build the connection and test it on real dataNot sample records from documentation, your actual orders and invoices, because that is where the exceptions live that never show up on paper.
  4. 4We leave a way to notice when something breaksThe system on the other end of a connection sometimes changes, updates, or shifts its format. We leave a notification that speaks up before anyone spots gaps in the data on their own.

What this looks like in practice

Example (hypothetical)

A twenty-five-person field service company tracks jobs in one system and invoices in another. Today someone in the office retypes closed jobs into the accounting system every day so an invoice can go out to the client, usually late in the day when the most jobs are done.

The connection reads closed jobs from the first system and creates draft invoices in the second, ready to issue with one click instead of retyping line items, rates and client details by hand. The status of an issued invoice flows back into the job system, so the field team can see which jobs are already billed without asking the office.

How long an implementation takes

Shorter when both systems have a ready integration interface and the flow only runs one way. Longer when we need to go through export files or the connection has to run both ways with statuses. Later connections between the same systems usually go faster.

Questions about connecting systems

Do we have to replace any of our systems?
No, that is the starting point. We connect what you already have through integration interfaces or export and import files. Replacing a system is a separate, much bigger decision, one we only discuss when the old system genuinely blocks any sensible connection.
What if our system does not have an integration interface?
We check this on the first call, before promising anything. Some older systems do not have a ready interface but do export data to files, and that is often enough to build a connection, just slightly slower than a live one.
What happens if one of the systems updates its interface?
That happens, which is why we leave a notification that speaks up when a connection stops behaving as expected instead of staying silent until someone spots gaps in the data. We roll the fix into a care plan if you have one.
Can data flow both ways at once?
Yes, though that needs more care, since we have to decide which system wins when both hold a different version of the same data. We settle that rule together with you before we start building, not partway through.
How many systems can be connected at once?
Technically as many as you like, but we always start with one connection, confirm it holds up on real data, and only then add the next. Same rule we apply to every automation: one process at a time, not five at once.
